This Privacy Policy explains how Themed World ("Themed World", "we", "us") collects, uses, stores and protects your personal data when you visit www.themed.world, contact us, submit an enquiry, complete one of our Facebook or Instagram forms, communicate with us through WhatsApp, or book a stay.

1. Who we are

Themed World provides distinctive short-stay accommodation, property management, short-term rental management, concierge and related services in France and the Philippines.

Themed World is responsible for the processing of personal data described in this Privacy Policy. Where a booking is made, the legal entity identified in the booking confirmation and/or invoice issued to the guest is the counterparty to that booking.

2. Data we collect

Depending on how you interact with us, we may collect:

  • Identity and contact data: name, email address, telephone or WhatsApp number, postal address when required by law.
  • Booking data: property, dates, number of guests, special requests, guest ID details when required by local regulations.
  • Payment data: payments are processed by our booking engine and payment providers. We do not store full card numbers on our website.
  • Property and owner data: property location, information about your property, and the information necessary to evaluate your property or service request.
  • Communication data: messages sent through our contact or enquiry forms, email, WhatsApp or booking platforms, and information you provide in a contact or lead form.
  • Technical data: IP address, browser and device information, pages visited, approximate location, collected through cookies and similar technologies.

We only collect information that is reasonably necessary for the purposes described in this Privacy Policy.

3. Information submitted through Facebook and Instagram

When you complete a Themed World Instant Form or Lead Form on Facebook or Instagram, Meta may provide us with the information you chose to submit. This may include your name, contact details, WhatsApp or telephone number, property information and answers to the questions contained in the form.

We use this information to respond to your enquiry, evaluate whether our services may be suitable for your property or your stay, and communicate with you about our property management and accommodation services.

Meta processes information on its own platforms according to Meta's own privacy policies and terms.

4. WhatsApp communications

If you provide a WhatsApp number or agree to be contacted through WhatsApp, Themed World may contact you through WhatsApp regarding your enquiry, your property, your booking and our services.

Depending on your WhatsApp settings, we may also be able to see information that you have made publicly visible on your WhatsApp profile.

You may ask us to stop contacting you through WhatsApp at any time, by telling us directly in the conversation or by writing to admin@blueplanetworld.com.

5. Booking and payment

Bookings made on this website are handled through our booking engine provided by Guesty. When you book, your booking, guest and payment data are transmitted to Guesty and to the relevant payment processor in order to confirm and manage your reservation. Their own privacy policies also apply to these processes.

6. Why we use your data

  • To process, confirm and manage your booking and your stay (performance of a contract).
  • To answer your enquiries and provide guest support.
  • To communicate with property owners and prospective clients, evaluate properties and service requests, and prepare proposals or offers.
  • To provide our property management and concierge services, and to manage our relationship with clients and prospective clients.
  • To follow up on requests submitted through our website, Facebook, Instagram or WhatsApp, and to maintain our internal lead and customer management records.
  • To comply with legal obligations, including guest registration, invoicing and tax requirements.
  • To secure our website and prevent fraud or misuse (legitimate interest).
  • To measure website traffic and the effectiveness of our communications and advertising, and to improve our services and marketing (consent, where required).
  • To send you information about our stays or services, only where you have agreed to receive it.

7. Legal basis for processing

Where applicable under data protection law, we process personal data on one or more of the following bases:

  • your consent;
  • taking steps at your request before entering into a contract;
  • performance of a contract;
  • our legitimate interests in operating and developing our business and responding to enquiries;
  • compliance with legal obligations.

Where processing is based on consent, you may withdraw that consent at any time.

8. Cookies and tracking tools

Our website uses cookies and similar technologies, including:

  • Google Tag Manager (GTM): management of measurement and marketing tags.
  • Meta Pixel: measurement of advertising campaigns and audience building on Meta platforms.
  • Functional cookies: required for the booking engine and the proper operation of the website.

We do not currently operate a Google Analytics property on this website. If we add audience measurement tools in the future, this Privacy Policy will be updated accordingly.

You can manage or block cookies at any time through your browser settings, and you can control how Meta uses your information for advertising through your Meta account settings.

9. Third-party services

We work with service providers who process data on our behalf or as independent controllers, including: Guesty (property management and booking engine), payment processors, booking platforms such as Airbnb, Booking.com and Agoda when you book through them, Google (Tag Manager), Meta (Facebook, Instagram, WhatsApp and the Meta Pixel), email and messaging providers, cloud storage and business management systems, and our website hosting provider. We only share the data necessary for each service.

We do not sell your personal data.

Information may also be disclosed when required by law, or when necessary to establish, exercise or defend legal rights.

Our website and communications may contain links to third-party services. Those services have their own privacy practices, and their processing of personal data is governed by their respective privacy policies.

10. Data retention

We keep your data only as long as necessary for the purposes described above: booking and invoicing data for the period required by applicable accounting and tax laws; enquiry and prospect data for up to 3 years after our last meaningful interaction; and measurement data according to the retention settings of each tool.

If a business relationship is established, certain information may be retained for longer where necessary for contractual, accounting, tax or legal purposes. Data is then deleted or anonymised.

11. International visitors and data transfers

Themed World operates stays in France and the Philippines and relies on online service providers. Your data may therefore be processed in the European Union, in the Philippines and in the countries where our service providers operate. Where data is transferred outside the European Economic Area, we rely on appropriate safeguards such as standard contractual clauses or the provider's own compliance mechanisms.

12. Your rights (GDPR and applicable laws)

Depending on your location, you may have the right to:

  • request access to your personal data;
  • request correction of inaccurate data;
  • request deletion of your data;
  • object to certain processing;
  • request restriction of processing;
  • withdraw your consent at any time;
  • request data portability where applicable;
  • lodge a complaint with the relevant data protection authority.

Individuals in the European Union may lodge a complaint with their local data protection authority (in France, the CNIL). Individuals in the Philippines benefit from the rights provided by the Data Privacy Act of 2012.

13. How to request deletion of your data

You may request deletion of the personal data held by Themed World at any time by sending an email to admin@blueplanetworld.com with the subject "Data deletion request".

In your request, state that you are requesting deletion of your personal data and provide enough information for us to identify the relevant record — for example the name, email address, telephone or WhatsApp number you used, or the form you submitted.

We will acknowledge and process valid requests in accordance with applicable law. Some information may need to be retained where a legal obligation requires it, for example accounting and tax records.

14. Security

We apply reasonable technical and organisational measures to protect your data against unauthorised access, loss, misuse, alteration or disclosure. Payment transactions are handled by secure, certified providers. However, no internet or electronic storage system can be guaranteed to be completely secure.

15. Changes to this policy

We may update this Privacy Policy when our services, technologies or legal obligations change. The latest version is always available at https://www.themed.world/privacy. The "Last updated" date at the top of this page indicates when the policy was most recently revised.
